Purchasing Policy

 

We conduct our purchasing work focusing on long-term relationships, sustainability, risk reduction, competitiveness, and growth. We carefully select our suppliers based on their willingness and ability to share our core values, take social responsibility, adhere to defined code of conduct rules, and achieve our business goals and strategic ambitions. We, therefore, honour such supplier relationships based on these fundamental business principles and ethical and professional behaviours, with the aim of a long-term and successful business relationship.

We promote those suppliers who demonstrate adherence to plans, good goal attainment, progress, and continuous improvement in these areas. Our long-term ambition is to build a flexible, resilient, sustainable, and competitive supplier network that can develop with CEJN towards future continued success. We regard supplier relationships as a marriage, and therefore, we carefully select who and whom we want to work together with. We, therefore, also believe that a divorce is usually costly, and therefore, we strive for long-term relationships based on the principles mentioned above.

We continuously perform risk assessments of our supplier portfolio and, based on these results, take preventive measures to reduce identified risks that could disrupt our supply chain.

We achieve success by:

  • closely follow external and market developments, changes in the trading environment, regulations, and conditions, as well as our own customers' behaviour, needs and requirements.
  • define concrete operational goals and key figures (KPIs).
  • give our suppliers the best possible conditions so that they can perform in accordance with our specific goals and requirements.
  • ensure that our own organization is well defined, structured, and competent to be able to work effectively in accordance with our strategies, activities, and goals and according to defined processes.
  • minimize all deviations and push for fundamentally improving development work.
  • follow our internal code of conduct VH0650 and ensure that our suppliers comply with the rules and requirements specified in our supplier manual VH3031 regarding, among other things, the code of conduct and social responsibility (CSR).

According to VH0640, our selected group 1 and 2 suppliers must have a quality management system according to ISO 9001 or equivalent and an environmental management system according to ISO 14001 or equivalent. Alternatively, they must have a clear ambition, time, and action plan to implement such management systems (see also VH03074 regarding environmental requirements for suppliers specifically).

 

 

Supplier requirements

 

Environmental Requirements

We choose to do business with suppliers that are environmentally responsible and aligned with adequate directives and legislations, and we encourage environmental improvement activities and sustainability accomplishments among all of these suppliers. CEJN requires that all suppliers maintain a management system (such like SS-EN ISO 14001 or EMAS) or have a plan to establish such a system or at least drive concrete environmental activities and action programs for improvement towards defined targets. Our primary objective is to support and develop all suppliers to build and enhance their own capability to succeed within the environmental and sustainability area.

The objectives of our requirements for suppliers and our evaluation/audit program contain the following scope:

  • Ensuring that CEJN does business with suppliers that actively are managing and reporting on their environmental impact.  
  • Ensuring that CEJN suppliers actively are addressing and monitoring their use of resources according to the precautionary principle.  
  • Supporting CEJN suppliers to continuously build capabilities and expertise in the environmental area.
  • Avoiding the transfer of responsibility for environmentally sensitive operations to any company lacking the commitment or capability to manage them properly.
  • Reducing CEJN: s suppliers' environmental and workplace health and safety risk.
  • Protecting CEJN, to the greatest extent possible, from potential environmental liabilities or adverse publicity.

The specific areas of activities that we evaluate on a continuous basis among our suppliers include:

  1. General overview of Environmental Management system (alternatively systematic approach), organization, policy, and overall targets. Sustainability Report copy (if applicable).
  2. Directives and legislation alignment, internal knowledge (such like IMDS, conflict minerals etc.), and level of expertise.
  3. Monitored and documented significant environmental aspects from operations, pollutants, used substances, or materials (including REACH, RoHS, WEEE applicability) and connected activities and actions.
  4. Proof of environmental improvements connected to key-performance indicators (KPI: s).
  5. Proof of personnel training programs within the sustainability and environmental area.
  6. Chemicals and proof of routines for minimizing usage and environmental impact.
  7. Proof of documented environmental requirements for sub suppliers.
  8. Possibilities and activities for reusable packaging, products, and consumable materials, recycling etc.
  9. Waste disposal routines and processes, minimizing waste.
  10. Transportation of goods and -personnel, policies, fleet, vehicles, “green” alternatives, emission reduction program in place.
  11. Renewable energy (solar, wind etc.), energy saving program in place.

Code of Conduct & Corporate Social Responsibility

CEJN is a global company with operations in many different countries where different laws, cultures, values and traditions apply. In all areas in which we operate we are aware of and respect the views of the general public and effects of our operations, which impose exacting demands on the way we conduct our work. At the same time as we strive for future profitable growth and continued success we are committed of contributing to a sustainable development by assuming our social and environmental responsibility and by doing business in a highly ethical manner.  

Our solid belief is that the best and most beneficial and successful business conducted between parties is based on honesty, respect, accountability and professional behavior. We create competitiveness and cost benefits by ensuring a high level of professional achievement and never resort to unethical or illegal business practices. We will never do business with someone who is likely to harm or jeopardize our brand-name or reputation. Our ethical requirements and code of conduct for all of our suppliers are primarily based on the UN ten principles (Global Compact) in the areas of human rights, labor, the environment and anti-corruption, as follows;    

HUMAN RIGHTS

Principle 1: CEJN suppliers must support and respect the protection of internationally proclaimed human rights; and

Principle 2: Make sure that they are not complicit in human rights abuses.

LABOR

Principle 3: CEJN suppliers must uphold the freedom of association and the effective recognition of the right to collective bargaining;

Principle 4: The elimination of all forms of forced and compulsory labor;

Principle 5: The effective abolition of child labor; and

Principle 6: The elimination of discrimination in respect of employment and occupation.

ENVIRONMENT

Principle 7: CEJN suppliers must support a precautionary approach to environmental challenges;

Principle 8: Undertake initiatives to promote greater environmental responsibility;

Principle 9: Encourage the development and diffusion of environmentally friendly technologies.

Our belief is that all environmental considerations and challenges are very important and of profound interest. We are today certified according to the environmental management standard ISO 14001 which focuses on how our organization and operations can minimize any negative environmental impact, how to fulfil applicable laws and agreements, and how to continuously improve within the environmental field towards a sustainable future. In order to become a prioritized or strategic partner to us you must be certified according to ISO 14001 or to an equivalent standard. You must also comply with national and international laws and with the EU’s chemical legislation, REACH no. 1907/2006 issued by the European parliament and its council.      

ANTI-CORRUPTION

Principle 10: CEJN suppliers must work against corruption in all its forms, including extortion and bribery. 
In practical terms this means that;

  • Overriding international laws must always be followed.
  • Each supplier must comply with labor and employment laws, as well as laws governing remuneration and collective bargaining.
  • The supplier’s facilities must comply with statutory and agreed health- and safety rules.
  • The supplier must have a contingency and evacuation plan.
  • The supplier must never, in any way, discriminate employees or in employment decisions. 
  • All employment with the supplier must be voluntary.
  • All employees must be treated humanely.
  • All of the supplier’s employees must have a specified minimum age.
  • All of the supplier’s employees must work less than a specified maximum number of hours per week.
  • An environmental friendly alternative or consideration to the principle caution must always be given as high priority as possible when choosing between different alternatives.
  • The supplier must never be related to any form of corruption, extortion or bribery in any relation.
  • The compliance with these requirements and are subject to monitoring by CEJN at any time.
